BC Invoice Automation: AI Capture Beyond OCR

Card No. 06·55358 · Updated · Standard formula, shown below

Dynamics 365 Business Central invoice automation now goes beyond OCR by using AI to understand the context of invoice data, not just read the characters. This means the system can classify documents, extract line items, and even suggest GL account codes with minimal human input. Here’s what that shift means for your accounts payable workflow, and how to make the most of it.

What AI Capture Actually Adds Over OCR

OCR (Optical Character Recognition) has been around for decades. It converts scanned images or PDFs into machine-readable text. The problem is that OCR alone produces a wall of text—it doesn’t know that “INV-2024-001” is an invoice number, that “Vendor Supplies Ltd.” is a vendor name, or that “$1,250.00” is the total amount. AI capture, often called intelligent document processing (IDP), uses machine learning models trained on thousands of invoice layouts to:

  • Identify document type – Is it an invoice, credit note, or purchase order?
  • Extract structured data – Pull out vendor name, invoice date, due date, line items, quantities, unit prices, and totals.
  • Match to purchase orders – Automatically link the invoice to an existing PO in Business Central, flagging mismatches.
  • Suggest GL accounts – Based on the item description or vendor, propose a general ledger account code.
  • Learn from corrections – When a user corrects a field, the model improves future extraction for similar invoices.

How It Works in Business Central

Microsoft’s native solution is the Dynamics 365 Invoice Capture app (formerly known as “AI Builder” for invoices). It integrates directly with Business Central. The flow is:

  1. An invoice arrives in your email inbox or is scanned and uploaded to a designated SharePoint folder.
  2. The AI model reads the document, extracts the key fields, and creates a draft invoice in Business Central.
  3. The draft appears in the Invoice Capture queue, where an AP clerk reviews it.
  4. The clerk approves or corrects any fields, then posts the invoice.
  5. Corrections are fed back to the model, improving accuracy over time.

This is much faster than manual data entry because the clerk only touches exceptions, not every invoice.

Key Benefits and Common Misconceptions

The main benefits are speed, accuracy, and cost reduction. But there’s a common misconception that AI capture is 100% accurate. It isn’t. Accuracy rates vary by invoice quality, layout complexity, and language. Even the best models require human review for a percentage of invoices—often 10-20% for complex or handwritten documents.

Another misconception is that you need to replace your entire AP process. In reality, AI capture fits into your existing workflow. It doesn’t require you to change how you approve invoices or how you post them in Business Central. It simply automates the data entry step.

How to Choose the Right Solution

When evaluating invoice automation for Business Central, consider these factors:

  • Native vs. third-party – Microsoft’s Invoice Capture is included with many Business Central licenses, but third-party tools like Kofax, UiPath, or ABBYY offer more advanced features like multi-entity support or complex approval workflows.
  • Integration depth – Does the tool create a full purchase invoice with line items, or just a header? Can it handle credit notes and prepayments?
  • Training effort – Some AI models require initial training on your specific invoice templates. Others are pre-trained and work out of the box.
  • Cost – Native tools may be cheaper, but third-party tools might offer better accuracy or lower per-invoice costs at high volumes.
  • Compliance – If you operate in regulated industries, check that the solution supports audit trails and e-invoicing standards.

Common Problems and How to Avoid Them

Even with AI, things go wrong. Here are typical issues and fixes:

  • Poor scan quality – Blurry or skewed images reduce accuracy. Use a good scanner and ensure invoices are flat.
  • Non-standard layouts – Some vendors have unusual invoice formats. The AI may misread fields. Solution: train the model with sample invoices from those vendors.
  • Multiple currencies or tax rates – The AI might not correctly apply tax codes. Always set up default tax codes in Business Central and have the AI suggest them, but verify.
  • Duplicate invoices – The system might not detect duplicates if the invoice number or vendor name is slightly different. Use the built-in duplicate check, but also review manually for high-value invoices.
  • Integration failures – If the connection between the capture tool and Business Central breaks, invoices may not appear. Monitor the queue regularly.

Costs and ROI

Costs vary widely. Native Microsoft Invoice Capture is often included in Business Central Premium licenses, but there may be additional AI Builder credits. Third-party tools typically charge per document or a monthly subscription. For example, if you process 500 invoices per month at 8 minutes each, that’s 66.7 hours of manual work. At $30/hour, that’s $2,000 per month. Even 50% automation saves $1,000 monthly—enough to cover many subscription fees.

Alternatives to Full AI Capture

If AI capture seems like overkill, there are lighter options:

  • Manual data entry – Simple but time-consuming.
  • OCR with templates – Use fixed-position OCR for standard invoices. Cheaper but breaks when layouts change.
  • Email-to-PDF automation – Use Power Automate to convert email attachments to PDFs and name them correctly, but still require manual entry.
  • Outsourced AP services – Send invoices to a third-party service that does the data entry for you. This is a service, not software.

Frequently Asked Questions

Is AI invoice capture the same as OCR? No. OCR is just character recognition—it turns images into text. AI capture understands the context and extracts structured data like vendor, date, and line items. OCR is a component of AI capture, but AI capture goes much further.

Do I need to be an AI expert to use it? No. The tools are designed for business users. You set up the connection, upload a few sample invoices, and the system learns. You don’t need to write code or understand machine learning.

How accurate is AI invoice capture? Accuracy varies, but for clean, digital invoices, most tools achieve 90-95% field-level accuracy. Handwritten or low-quality scans drop to 70-80%. You should always have a human review step.

Can it handle invoices in multiple languages? Yes, most modern AI models are multilingual. However, accuracy may be lower for less common languages. Test with your actual vendor invoices.

What happens if the AI makes a mistake? The draft invoice will have incorrect data. That’s why the review queue exists. The clerk corrects the mistake before posting. The correction is used to retrain the model, so the same error is less likely next time.

Will this replace my AP staff? It reduces the need for manual data entry, but you still need staff to review exceptions, handle vendor queries, and manage approvals. Most organizations redeploy their AP staff to more analytical tasks.
