To get row totals in Excel, you can use the AutoSum button, the SUM function, or a keyboard shortcut. This guide covers the quickest methods for adding up values across a row, including how to handle filtered data and blank cells.

Formula

The core formula for a row total in Excel is the SUM function:

SUM(number1, [number2], …)

Where number1, number2, etc., are the cells or ranges you want to add. For a row of values in cells A1 through E1, the formula is =SUM(A1:E1). The SUM function adds all numbers in the specified range, ignoring text and blank cells.

Worked Example

Suppose you have sales figures for five days in cells A1 to E1: 120, 85, 200, 150, and 95. To find the total:

  1. Click on cell F1 (where you want the total to appear).
  2. Type =SUM(A1:E1) and press Enter.
  3. Excel returns 650 (120+85+200+150+95 = 650).

This matches what the SUM function calculates for the default range.

Method 1: AutoSum

The fastest way to get a row total is with AutoSum:

  1. Click the empty cell directly to the right of the row of numbers.
  2. Go to the Home tab.
  3. Click the AutoSum button (Σ) in the Editing group.
  4. Press Enter. Excel inserts =SUM(A1:E1) and shows the total.

AutoSum automatically detects the contiguous range of numbers to the left and selects it. You can also press Alt + = as a keyboard shortcut to insert the SUM function instantly.

Method 2: Manual SUM Function

If AutoSum selects the wrong range (for example, if there are blank cells), type the formula manually:

  1. Select the cell for the total.
  2. Type =SUM(.
  3. Click and drag to select the cells you want to add.
  4. Type ) and press Enter.

You can also type the range directly, like =SUM(A1,A3,C5) for non-adjacent cells, or =SUM(A1:E1) for a continuous range.

Method 3: Status Bar Quick Total

If you only need to see the total without inserting a formula, use the status bar:

  1. Select the row of numbers.
  2. Look at the bottom-right of the Excel window.
  3. The status bar shows the Sum of the selected cells, along with Average and Count.

This is handy for a quick check, but it doesn’t put the total in a cell. If Sum doesn’t appear, right-click the status bar and check the Sum box.

Method 4: Total with Filtered Data

When rows are filtered, a regular SUM includes only visible rows? Actually, no—SUM includes all rows, even hidden ones. To sum only visible filtered rows, use the SUBTOTAL function:

=SUBTOTAL(109, A1:E1)

The number 109 tells Excel to sum visible cells only. If you use 9 instead, it sums all cells including hidden rows. This is useful when you filter a table and want the total of the displayed data.

Common Mistakes and Tips

  • Text in cells: SUM ignores text, but if a cell contains an error like #N/A, the total will show that error. Use =SUMIF(range,"<>",range) to ignore errors.
  • Entire row sum: To sum an entire row, use =SUM(1:1) which totals all numbers in row 1. Be careful not to include the cell with the formula itself, or you’ll get a circular reference.
  • Decimal places: The total may show more decimals than expected. Use the Decrease Decimal button on the Home tab to format.
  • Blank cells: SUM treats blank cells as 0, so they don’t affect the total.

Frequently Asked Questions

How do I add a row total in Excel on a Mac?

The same methods work on Excel for Mac. The AutoSum button is on the Home tab, and the keyboard shortcut is Command + Shift + T (or just type the SUM function). The status bar also shows the sum when you select cells.

Why is my SUM formula showing 0?

This usually happens when the cells contain text that looks like numbers. Check if the cells are formatted as Text. Select the cells, click the warning icon, and choose “Convert to Number.” Also, ensure there are no leading apostrophes or spaces.

Can I get row totals for multiple rows at once?

Yes. Select the empty cells to the right of each row, then press Alt + =. Excel will fill all selected cells with SUM formulas for each row. Alternatively, drag the fill handle from one total cell down to copy the formula to other rows.

How do I sum a row with hidden columns?

If columns are hidden, SUM includes them. To exclude hidden columns, use SUBTOTAL with 109, but note that SUBTOTAL only ignores hidden rows, not columns. For columns, you would need to manually select visible cells or use a more complex formula.

What is the difference between SUM and SUBTOTAL?

SUM adds all numbers in a range, including hidden rows. SUBTOTAL can ignore hidden rows when you use function number 109. SUBTOTAL is also used within Excel Tables to automatically adjust when rows are added or removed.

Can I get a row total without a formula?

Yes, use the status bar as described in Method 3. Select the row, and the sum appears in the status bar. This is a temporary view and doesn’t insert a formula into the sheet.
