How to Chat on Zoom: Step-by-Step Guide

Card No. 06·49655 · Updated · Standard formula, shown below

Zoom’s chat feature lets you send text messages to individuals or everyone in a meeting, share links, and even send files without interrupting the speaker. This guide walks you through using the chat panel on both desktop and mobile, from opening it to sending private messages and troubleshooting common issues.

What You’ll Need

  • A Zoom account (free or paid) – you can join a meeting without an account, but you’ll need one to start a meeting.
  • The Zoom desktop app (Windows, macOS, Linux) or mobile app (iOS, Android), or a web browser (for the web client).
  • A stable internet connection.

Step-by-Step

  1. Start or join a meeting. Open the Zoom app and click “New Meeting” or “Join”. If you’re joining someone else’s meeting, enter the meeting ID and passcode if required.
  2. Locate the chat button. Once you’re in the meeting, look at the bottom toolbar (on desktop) or the top-right corner (on mobile). The icon looks like a speech bubble with three dots. On desktop, it’s labeled “Chat”. Click or tap it.
  3. Open the chat panel. On desktop, a panel slides out from the right side of the window. On mobile, it opens as a full-screen or half-screen overlay. If the panel doesn’t appear, it may be hidden because the host has disabled chat – see Troubleshooting.
  4. Choose who to send your message to. At the bottom of the chat panel, there’s a dropdown menu next to the message box. By default, it’s set to “Everyone” – this sends your message to all participants. Click the dropdown to select a specific participant if you want to send a private message. On mobile, tap the “To” field to pick a recipient.
  5. Type your message. Click or tap the text box and type your message. You can also paste text from elsewhere. Press Enter (desktop) or tap the send icon (mobile) to send it.
  6. Send files or screenshots. In the chat panel, click the “File” icon (a paperclip) to attach a file from your computer or device. You can also take a screenshot by clicking the camera icon (desktop only) – this captures the current meeting screen and sends it as an image.
  7. Use emojis and reactions. Click the smiley face icon in the chat box to insert emojis. On desktop, you can also right-click any message to react with a thumbs up, heart, or other emoji.
  8. Mention someone. Type “@” followed by a participant’s name to notify them specifically. They’ll see a highlight on the message and receive a notification (if enabled).
  9. Read and reply to messages. Messages appear in the chat panel in real time. To reply to a specific message, hover over it (desktop) and click the reply icon. On mobile, tap and hold the message to see the reply option.
  10. Close the chat when done. Click the X or the chat icon again to hide the panel. You can reopen it anytime.

Common Mistakes

  • Sending a private message to everyone. Double-check the recipient dropdown before hitting send, especially if you’re discussing something sensitive.
  • Not realizing chat is disabled. The host may have restricted chat to “Everyone” only, or turned it off entirely. If the chat icon is grayed out, you can’t use it.
  • Sharing a file that’s too large. Zoom has a file size limit (usually 512 MB for Pro accounts, but it varies). If your file won’t send, try compressing it or sharing it via a cloud link.
  • Typing in the wrong meeting. If you’re in multiple meetings, make sure you’re sending to the correct one. The chat panel shows the meeting name at the top.
  • Forgetting to press Enter on mobile. On the mobile app, the send button is a small paper plane icon – tapping it sends the message, while pressing Enter on the keyboard may just add a newline.

Tips

  • Use chat for questions during presentations. Instead of interrupting the speaker, type your question in chat. Many hosts monitor chat and will address it later.
  • Save the chat transcript. If you’re the host, you can save the chat by going to “More” (three dots) in the chat panel and selecting “Save Chat”. This creates a text file on your computer. Participants can also save chat if the host allows it.
  • Adjust chat settings before the meeting. As a host, you can pre-set who can chat (everyone, only host, or no one) in the meeting settings. This is useful for webinars or large meetings.
  • Use keyboard shortcuts. On desktop, press Alt+H (Windows) or Option+H (Mac) to toggle the chat panel quickly.
  • Send a message to the host privately. If you have a technical issue, send a private message to the host instead of posting to everyone – it’s less disruptive.

Troubleshooting

Chat button is grayed out or missing. This means the host has disabled chat for the meeting. You can’t override this. If you need to communicate, try raising your hand or unmuting briefly to speak.

Can’t send a message. Check if you’re connected to the internet. Also, if the host has set chat to “Host only”, you can only send messages to the host, not to everyone. The dropdown will show only the host’s name.

Messages are not appearing. Refresh the chat panel by closing and reopening it. If that doesn’t work, leave and rejoin the meeting. On mobile, make sure your app is updated.

File won’t send. Check the file size and format. Zoom supports most common file types, but some (like .exe) are blocked for security. Try renaming the file or zipping it.

Chat is lagging. If messages are delayed, it’s likely a network issue. Close other bandwidth-heavy apps or switch to a wired connection.

Private messages are not working. The host may have restricted private chat. In that case, the dropdown will only show “Everyone”. If you need to talk privately, ask the host to enable it.

Frequently Asked Questions

Can I chat in a Zoom meeting without a Zoom account? Yes, you can join a meeting as a guest and still use chat, as long as the host hasn’t restricted it. You just need the meeting link or ID.

How do I send a private message in Zoom chat? Click the dropdown next to the message box (desktop) or the “To” field (mobile) and select the participant’s name. Your message will be sent only to them.

Can the host see private messages? No, private messages are only visible to the sender and the recipient. However, the host can see that a private message was sent (but not its content) in the meeting logs if they have recording enabled.

How do I save the chat in Zoom? On desktop, click “More” (three dots) in the chat panel and select “Save Chat”. The file is saved as a .txt file in your Documents folder (or wherever your Zoom files are stored). On mobile, saving chat is not supported.

Why can’t I see the chat button? The host may have disabled chat, or you may be using the web client, which has limited features. Try using the desktop app for full functionality.

Can I send a message to someone who is not in the meeting? No, chat is only available for current participants. If you need to contact someone outside the meeting, use Zoom’s separate chat feature (the “Chat” tab in the main app) to send messages to your contacts.
