Universal Clipboard, AirDrop & Handoff for Students

Card No. 06·40231 · Updated · Standard formula, shown below

Apple’s Continuity features—Universal Clipboard, AirDrop, and Handoff—let you move text, files, and even ongoing work between your iPhone, iPad, and Mac without emailing yourself or using a cloud drive. This guide shows you exactly how to set them up and use them for research, writing, and group projects. You’ll need an Apple device (iPhone, iPad, or Mac) signed into the same Apple ID with Wi-Fi and Bluetooth turned on.

What You’ll Need

  • An iPhone, iPad, or Mac (or a combination) running recent versions of iOS, iPadOS, or macOS.
  • The same Apple ID signed in on all devices.
  • Wi-Fi and Bluetooth enabled on all devices.
  • Handoff enabled in settings (see steps below).
  • For AirDrop: both devices should have Wi-Fi and Bluetooth on, and be within about 30 feet (9 meters) of each other.

Step-by-Step

Enable Continuity Features

  1. On your Mac: Go to System Settings (or System Preferences on older macOS) → General → AirDrop & Handoff. Toggle on AirDrop and Handoff.
  2. On your iPhone or iPad: Go to Settings → General → AirPlay & Continuity. Turn on Handoff and AirDrop (AirDrop is also toggled from Control Center).
  3. Sign in to the same Apple ID on every device: Settings (iOS) or System Settings (Mac) → your name at the top. If you use different Apple IDs, Continuity won’t work.

Use Universal Clipboard

  1. Copy on one device: Select text, an image, or a file on your iPhone, iPad, or Mac and press Copy (or Cmd+C on Mac).
  2. Paste on another device: Immediately go to your other device (within a few seconds) and press Paste (or Cmd+V on Mac). The clipboard content appears as if it were copied there.
  3. For files: Copy a file in Finder (Mac) or Files app (iOS) and paste it into a folder on the other device.

Use AirDrop for Files and Photos

  1. Open the share menu: On your iPhone/iPad, tap the Share button (square with arrow up). On Mac, right-click a file and choose Share → AirDrop.
  2. Select the target device: In the AirDrop sheet, you’ll see nearby devices. Tap or click the one you want. Make sure the receiving device has AirDrop set to Contacts Only or Everyone (temporarily) so it appears.
  3. Accept on the receiving device: On iPhone/iPad, a preview appears; tap Accept. On Mac, a notification appears; click Accept. The file lands in your Downloads folder (Mac) or in the Files app (iOS).

Use Handoff to Continue Work

  1. Start a task on one device: For example, write an email, open a Safari page, or edit a Pages document on your iPhone.
  2. Pick up on another device: On your Mac, look for the app icon in the Dock (it appears on the right side with a small phone icon). On iPhone/iPad, open the App Switcher (swipe up from bottom and hold) and you’ll see a bar at the bottom with the app name—tap it.
  3. Continue editing: The app opens exactly where you left off, with your cursor and undo history intact.

Common Mistakes

  • Not signed into the same Apple ID: This is the #1 reason Continuity fails. Double-check on every device.
  • Bluetooth or Wi-Fi off: Both must be on for all three features. AirDrop also needs Wi-Fi.
  • Clipboard expires too quickly: Universal Clipboard only works for a few seconds after copying. If you wait too long, it’s gone.
  • AirDrop set to “Receiving Off: If you can’t see the other device, go to Control Center (iOS) or Finder → AirDrop (Mac) and set it to “Contacts Only or “Everyone temporarily.
  • Handoff not showing: Make sure the app supports Handoff (Apple apps like Safari, Mail, Pages, Numbers, Keynote, and Notes do). Third-party apps may not.

Tips

  • Use Universal Clipboard for citations: Copy a URL or quote from Safari on your iPhone and paste it directly into your essay on your Mac.
  • AirDrop large files: Instead of emailing a 50 MB PDF to yourself, AirDrop it—it’s faster and doesn’t count against email limits.
  • Handoff for research: Start reading a PDF in Files on your iPad, then continue on your Mac without losing your place.
  • Turn on “Everyone for AirDrop temporarily: If you’re in a group project, set AirDrop to “Everyone for a few minutes, then switch back to “Contacts Only for privacy.
  • Use the Dock icon for Handoff: On Mac, the Handoff app icon appears at the right end of the Dock—click it to switch instantly.

Troubleshooting

  • Universal Clipboard not working: Make sure both devices are on the same Wi-Fi network (or at least have Wi-Fi on), Bluetooth is on, and you’ve copied within the last few seconds. Restart both devices if it persists.
  • AirDrop doesn’t show the other device: Check that both have AirDrop set to “Everyone or “Contacts Only (and you’re in each other’s contacts). Move closer, and toggle Bluetooth off/on. If still not visible, restart Wi-Fi.
  • Handoff app icon missing: Ensure Handoff is enabled in settings on both devices. Also, the app must be open on the source device—Handoff won’t work if the app is closed.
  • Continuity features grayed out: This often means the devices aren’t signed into the same Apple ID. Go to Settings and verify.
  • Files don’t appear after AirDrop: On iPhone/iPad, check the Files app under “Downloads or “Recents. On Mac, check the Downloads folder. If you accepted but can’t find it, search Spotlight (Cmd+Space) for the file name.

Frequently Asked Questions

Can I use Universal Clipboard with a Windows PC?

No, Universal Clipboard only works between Apple devices signed into the same Apple ID. For Windows, you’d need a third-party solution like a cloud clipboard manager.

Does AirDrop work without Wi-Fi?

AirDrop uses Bluetooth to discover devices and Wi-Fi to transfer files. Both need to be on, but you don’t need to be connected to a Wi-Fi network—the devices create a direct peer-to-peer connection.

Why does my clipboard only paste on one device?

Universal Clipboard is one-way at a time. If you copy on your iPhone, you can paste on your Mac, but you can’t copy on both simultaneously. Also, the copy must be the most recent action—if you copy something else, the previous clipboard is overwritten.

Can I Handoff a phone call?

Yes, but that’s a different Continuity feature. Handoff for calls lets you start a call on your iPhone and continue it on your Mac or iPad. The steps are similar: look for the phone icon in the Dock or App Switcher.

Do all apps support Handoff?

No, only apps that have been updated to support Handoff. Apple’s own apps (Safari, Mail, Pages, Numbers, Keynote, Notes, Reminders, Calendar) work, but many third-party apps don’t. Check the app’s documentation.

Is there a file size limit for AirDrop?

No, AirDrop can transfer files of any size, though very large files may take longer. It’s often faster than email or cloud uploads for big files.
