Turn Off OneDrive Folder Backup: How-To

Card No. 06·52174 · Updated · Standard formula, shown below

Turning off OneDrive folder backup (also called Known Folder Move) stops Windows from syncing your Desktop, Documents, and Pictures folders to the cloud. You can do this in OneDrive settings without deleting any files, but you must choose what happens to the already-synced copies. This article explains the exact steps, what each option means, and how to avoid losing data.

What OneDrive Folder Backup Actually Does

When you enable folder backup, OneDrive redirects your standard user folders (Desktop, Documents, Pictures) to a location inside your OneDrive folder. From then on, every file you save to those folders is uploaded to your OneDrive cloud storage and synced across any device signed in with the same Microsoft account. The local path changes from something like C:\Users\YourName\Documents to C:\Users\YourName\OneDrive\Documents. This is why after enabling backup you may see a small cloud icon on your files and why your Documents folder appears inside OneDrive in File Explorer.

Why You Might Want to Turn It Off

There are several common reasons to disable folder backup:

  • Storage limits: Your OneDrive free tier only includes 5 GB. If you have more files than that, sync stops or you need to buy more space.
  • Privacy: You may not want personal documents stored on Microsoft’s servers.
  • Performance: Constant syncing can slow down older computers or saturate a slow internet connection.
  • Organization: You prefer to keep files only on your PC and use a different backup method.
  • Multiple accounts: If you switch to a different cloud service, you may want to stop OneDrive from syncing your main folders.

How to Turn Off Folder Backup (Step-by-Step)

These steps apply to Windows 10 and Windows 11 with the current OneDrive app. The process is the same in both.

  1. Right-click the OneDrive cloud icon in the system tray (bottom-right, near the clock). If you don’t see it, click the up arrow to show hidden icons.
  2. Select Settings (or Preferences in some versions).
  3. Go to the Sync and backup tab (sometimes labeled “Backup” or “Manage backup”).
  4. Click Manage backup (or “Update folders”).
  5. You’ll see a list of folders: Desktop, Documents, Pictures. Uncheck the ones you want to stop backing up.
  6. Click Stop backup (or “Save changes”).
  7. A dialog will ask what to do with the files already in OneDrive. Choose one of the options described below.

After you confirm, OneDrive will stop syncing those folders. The folders will remain on your PC, but their location may change back to the original C:\Users\YourName\ path. Files that were already in OneDrive will remain there unless you choose to move them.

What Happens to Your Files When You Stop Backup?

When you stop folder backup, OneDrive gives you three choices for the existing files:

  • Keep the files in OneDrive: The files stay in your OneDrive cloud storage, but they are no longer synced with your local Desktop/Documents/Pictures folders. You can still access them online or via the OneDrive folder on your PC.
  • Move the files to this PC: OneDrive will download the files from the cloud to your original local folder (e.g., C:\Users\YourName\Documents) and then remove them from OneDrive. This keeps everything on your computer.
  • Keep the files in OneDrive and on this PC: This option creates a copy locally and leaves the cloud copy intact. It is the safest choice if you are unsure, but it uses double storage.

Important: If you choose “Move files to this PC,” make sure you have enough local disk space. If you choose “Keep files in OneDrive,” those files will no longer be automatically backed up on your PC—they only exist in the cloud and in the OneDrive folder (which is still on your PC but is just a synced copy).

Common Problems and How to Avoid Them

Users often run into a few issues when turning off folder backup:

  • Files disappear: This usually happens when you pick “Move files to this PC” but the download fails or is incomplete. Always check that the files appear in the local folder before deleting anything from OneDrive.
  • OneDrive keeps re-enabling backup: Some Windows updates or OneDrive prompts may ask you to “Protect your folders” again. If you don’t want that, dismiss the prompt and do not click “Start backup.”
  • Folder paths change: After stopping backup, your Documents folder may still point to the OneDrive location. You can manually move it back by right-clicking the folder in File Explorer, selecting Properties, and changing the Location tab.
  • Sync errors: If you have files that are still uploading, wait until sync is complete before turning off backup to avoid partial uploads.

What About the OneDrive Folder Itself?

Turning off folder backup does not disable OneDrive entirely. You will still have a OneDrive folder that syncs any files you put in it. If you want to completely remove OneDrive from your PC, you would need to unlink the account (via OneDrive settings) or uninstall the app. That is a separate action and is not covered by “turn off folder backup.”

Alternatives to Folder Backup

If you want cloud backup but not the folder redirection, you have a few options:

  • Manual sync: Keep your files in normal local folders and copy important ones to your OneDrive folder occasionally. This gives you control but requires discipline.
  • Use a different backup service: Many third-party services (like Google Drive, Dropbox, or Backblaze) offer continuous backup without changing your folder paths. Some are free, some are paid.
  • External hard drive: A local backup to an external drive is fast and private, but it doesn’t protect against theft, fire, or hard drive failure in the same location.
  • Windows File History: This built-in feature backs up your libraries to an external drive or network location without using the cloud. It’s a good alternative if you want local versioning.

Frequently Asked Questions

Will turning off folder backup delete my files?
No. Your files remain either in OneDrive, on your PC, or both, depending on the option you choose. The only way to lose data is if you manually delete files or if a download fails and you don’t check.

Can I turn off backup for only one folder (e.g., Pictures)?
Yes. In the “Manage backup” screen, uncheck only the folders you want to stop syncing. The others will continue to back up.

How do I move my Documents folder back to its original location?
After stopping backup, right-click the Documents folder in File Explorer, select Properties, go to the Location tab, and click “Restore Default.” This will move it back to C:\Users\YourName\Documents.

Will I lose access to files already in OneDrive?
No. They stay in your OneDrive cloud storage. You can access them via the OneDrive website or by signing into OneDrive on any device.

Does turning off folder backup stop all OneDrive syncing?
No. Only the selected folders stop syncing. The rest of your OneDrive folder (anything you manually put there) continues to sync normally.

What if I don’t see the “Manage backup” option?
Make sure you are signed into OneDrive with your Microsoft account. If you are, but the option is missing, update OneDrive to the latest version from the Microsoft Store or the OneDrive website.
