Restore Notes From iCloud: What to Try First

Card No. 06·29481 · Updated · Standard formula, shown below

You can restore Notes from iCloud by signing in with the Apple Account that owns them and turning on Notes sync; deleted notes may also be recoverable from the Recently Deleted folder for a limited time. The right method depends on whether the notes were deleted, stopped syncing, or disappeared after a device change.

How iCloud Notes restoration works

When Notes is enabled in iCloud, notes stored in the iCloud account sync across devices signed in to that same Apple Account. In many cases, restoring them does not mean downloading a separate backup: enabling Notes sync makes the iCloud copies appear again. A note saved under another account, such as Google or an email provider, will not be recovered by switching on iCloud Notes.

First check whether the notes are simply hidden by an account or folder selection. Open Notes and look through the folders list for iCloud, On My iPhone or iPad, and any listed mail accounts. On a Mac, check the Notes sidebar and account folders. If the note is in an account other than iCloud, restore access to that account or enable Notes for it in the device’s account settings.

Also confirm that you are signed in to the same Apple Account used when the notes were created. A different account can show an empty iCloud Notes folder even when the original notes still exist online.

Recover a recently deleted note

If you deleted a note from iCloud, check Recently Deleted before changing account settings or restoring a device backup. Apple generally keeps deleted notes in that folder for up to 30 days, unless you delete them permanently sooner. The folder may not appear if there are no recoverable deleted notes.

  1. Open Notes on your iPhone or iPad and return to the Folders list.
  2. Under the relevant account, tap Recently Deleted. Check the iCloud folder in particular if the note was synced there.
  3. Open the note, tap the more-options button, and choose Move or Move Note. Select a folder where you want to keep it.
  4. On a Mac, select Recently Deleted in the Notes sidebar, then move the note to another folder.

Moving a note out of Recently Deleted is safer than copying its text and leaving the original in the recovery folder. If Recently Deleted is empty, the note may have been permanently deleted, may belong to another account, or may not have synced before deletion.

Turn Notes sync back on

If notes are missing on one device but visible on another, check the Notes sync setting on the affected device. Keep the device connected to the internet and allow time for syncing after changing the setting.

  • iPhone or iPad: Open Settings, tap your name, tap iCloud, then choose Notes. Turn on Sync this iPhone or Sync this iPad (the wording can vary). Also check Settings > Apps > Notes if you need to confirm which account is set as the default for new notes.
  • Mac: Open System Settings, select your name, choose iCloud, and open Notes or Show All, then make sure Notes syncing is enabled. The exact labels can differ between macOS releases.
  • Web: Sign in to iCloud.com with the same Apple Account and open Notes, if Notes is available for the account and browser session. This can help establish whether the notes are present in iCloud independently of a particular device.

If you turn off Notes in iCloud, the device may ask whether to keep or remove local copies. Read that prompt carefully. Removing local copies is not the same as deleting the iCloud account’s synced notes, but unsynced changes or notes stored only on the device may be affected. When uncertain, avoid choosing a removal option until you have checked other devices and any available backup.

Restore from a device backup

A backup may help when a note was stored locally on a device rather than synced to iCloud, or when a suitable older backup contains a copy. But restoring an entire iPhone or iPad backup is not a simple Notes-only recovery: it can replace current device data and settings with the contents of that backup.

Before considering a full restore, check whether the notes are in iCloud.com, Recently Deleted, another account, or another device. Then check the date of any backup you might use. A backup made after a note was deleted may not contain the earlier version. If the note was already syncing through iCloud, it may not be included in the device backup in the way you expect; iCloud-synced data is generally handled separately from the device’s iCloud Backup.

Do not erase a device just to test whether a backup contains a note. If you decide a backup restore is appropriate, understand that it can replace newer data on the device. Preserve current important information first and follow Apple’s current restore instructions for your device.

Why notes may still be missing

  • Wrong account: Notes may be stored under a different Apple Account or an email account. Check each account’s folders.
  • Sync is paused or incomplete: Check the internet connection, iCloud service status, available device storage, and whether Notes is enabled for the account. Restarting the device may help with a temporary sync issue, but it cannot restore a permanently deleted note.
  • Recently Deleted was emptied: Notes deleted permanently from that folder usually cannot be restored through Notes.
  • The note was local: “On My iPhone” or “On My Mac” notes are not necessarily iCloud-synced. They may depend on a device backup or another copy.
  • Shared note access changed: If someone else shared a note, it may disappear when sharing ends or access is removed. Ask the owner to share it again if appropriate.

A common misconception is that every note is automatically included in iCloud Backup. Notes that sync through iCloud are available through the iCloud Notes service; locally stored notes and notes in other accounts follow different sync and backup arrangements. Identifying the folder where a note lived is often the key to choosing the right recovery route.

Frequently Asked Questions

Can I restore permanently deleted iCloud Notes?
If a note has been removed from Recently Deleted or its recovery period has passed, Notes does not provide a normal restore option. Check other devices, accounts, or an older backup for a separate copy, but do not assume one exists.

How long do deleted notes stay in Recently Deleted?
They are generally kept for up to 30 days. A note deleted permanently from that folder can no longer be recovered there.

Why are my notes on iCloud.com but not on my iPhone?
Check that the iPhone is signed in to the same Apple Account, that Notes sync is enabled, and that the device has an internet connection. Give syncing time, then reopen Notes.

Will restoring an iCloud backup bring back my notes?
It depends on where the notes were stored and when the backup was made. iCloud-synced notes are generally separate from device backup contents, and a full restore can replace newer device data.

Can I recover Notes from an old iPhone?
If the old iPhone still has the notes, connect it to the internet and check whether they sync to the correct iCloud account. For notes stored only on that device, preserve the device and investigate available backups before erasing or trading it in.

Keep future notes recoverable

Enable iCloud Notes on the devices where you want notes to sync, verify that important notes appear on another device or on iCloud.com, and periodically check the account and folder where new notes are saved. For especially important information, keep a separate copy in an appropriate secure location. These checks do not prevent every loss, but they make it easier to tell whether a missing note is a sync issue, a deleted note, or a local-only item.
